The Document Controller is responsible for the effective management, organization, and distribution of project documents, including Material Inspection Requests (MIRs) and Work Inspection Requests (WIRs). This role ensures proper documentation flow, version control, and compliance with project and quality requirements.
Key Responsibilities:
Document Control
Maintain up-to-date records of all incoming and outgoing documents.
Ensure all documents are properly numbered, stamped, and filed according to project standards.
Monitor document lifecycle, ensuring version control and timely distribution.
MIR & WIR Management:
Receive, log, and track Material Inspection Requests (MIRs) and Work Inspection Requests (WIRs).
Ensure proper coordination between the QA/QC team and consultants for timely review and approval.
Maintain registers for all MIRs and WIRs and update their status regularly.
Follow up with concerned parties to avoid delays in the inspection process.
Filing & Archiving:
Organize and maintain both physical and digital records of drawings, specifications, RFIs, MIRs, WIRs, etc.
Archive closed documents in accordance with retention policies.
Distribution & Coordination:
Distribute approved drawings and documents to relevant departments and subcontractors.
Ensure the latest versions are always available and obsolete versions are clearly marked or removed.
Support for Audits & Compliance:
Assist with internal and external audits by providing requested documentation promptly.
Ensure documentation practices comply with company quality standards and ISO requirements.
Reporting:
Prepare weekly and monthly document status reports, including MIR/WIR logs.
Highlight pending or overdue approvals for management follow-up.
