Document Controller for Bidding.
Job Description
* Maintain an organized digital and physical filing system for all bidding documents.
* Register, track, and control all incoming and outgoing documents (RFPs, RFQs, ITBs, addendums, clarifications).
* Ensure all documents follow the company’s naming conventions and version control standards.
* Maintain a master document register for each bid/tender.
* Compile submission files including technical, commercial, pre-qualification, HSE, QA/QC, financial, and administrative documents.
* Ensure all mandatory forms, certificates, and annexures are updated and included as per client requirements.
* Format and finalize proposal documents (Word, PDF, Excel, PowerPoint).
* Assist in creating templates for technical proposals, compliance matrices, and submission forms.
* Coordinate with the Bidding Manager, Estimation Team, Technical Team, HSE, QA/QC, Finance, HR, and Procurement to obtain required inputs.
* Send and follow up on document requests to departments and subcontractors.
* Communicate with clients/sponsors regarding missing documents, clarifications, or updates (when authorized).
* Track deadlines and alert the bidding team of upcoming milestones.
